Case Study · Appointment Booking System

Replacing phone-tag with a booking system people actually want to use.

Challenge

Businesses were losing customers to friction they didn't know existed.

Small service businesses — salons, clinics, consultants, wellness studios — were managing appointments through a combination of phone calls, WhatsApp messages, and spreadsheets. Every missed call was a missed booking. Every manual reminder was a task that stole time from actually serving customers.

The challenge wasn't just building a calendar. It was understanding the full operational reality of a small service business and designing a system that fits into it — not one that demands a workflow change to accommodate the software.

01

No-shows were common — customers forgot appointments and there was no automated way to remind them

02

Booking outside business hours was impossible — customers had to wait, often booking elsewhere instead

03

Providers had no single view — appointments scattered across phone, DMs, and paper calendars caused double-bookings

Strategy

Everything the system needed to actually work.

Security and data privacy were baked into the architecture from day one — not retrofitted. Customer data is encrypted at rest, access is scoped per provider, and payment handling never touches our servers directly, routing through Stripe instead.
